Account Setup

Your EducatorsHandbook.com account comes pre-populated with sensible defaults for most settings, but there are a few things you will need to do to get setup. You will need a school calendar, a spreadsheet of student data, and a faculty email list to complete the setup process. If your student information system does not provide an easy way to download student information, a spreadsheet containing student data can often be obtained from district-level technology staff.

Set the School Year

EducatorsHandbook.com uses information about your school year to provide you with accurate reporting. This includes the first and last day for students, district holidays, and the start and end of the school day.

Set the school year and holidays at Settings -> School Terms.

Import Students

Importing your students is easy and will ensure your student records are complete and accurate. You can re-import your students at any time to update existing students, add new students, and hide students from view who are no longer enrolled. You can import your students at Settings -> Students. Importing students does not affect your incident data in any way and incidents for unenrolled students will remain accessible. There are three things to remember:

  1. Make sure you always import a complete snapshot of your enrollment (as opposed to just new students or a single grade level).

  2. Make sure the column layout matches the instructions at Settings -> Students exactly. We do not support extra columns or out-of-order columns.

  3. Make sure you always use the same student number for every import. Some student information systems support multiple student number types.

Create Employee Accounts

Meet with your teachers to introduce EducatorsHandbook.com and distribute the handouts you received when you registered for your account. Many subscribers have found it helpful to introduce the application to their staff one grade level team at a time. After meeting with your teachers, create teacher accounts at Settings -> Employees.

Account Maintenance

You can re-import students at any time during the school year to add new students, update existing records, and unenroll students no longer in attendance at your school. When used in this way, importing students serves to sync the student records in your EducatorsHandbook.com account with the students in your student information system.
